Rental Policy
The Town of Knightdale offers rental opportunities for certain venues and facilities at multiple locations. The Town of Knightdale defines rental as a private event or gathering that does not impede non-rentable areas of the venue or facility. Rentals include, but are not limited to birthday parties, baby showers, bridal showers, family reunions, meetings, practices, and corporate functions.
Rental Procedures:
- All rental requests may be completed online at knightdale.recdesk.com, in person, or over the phone at 919-217-2251.
- All rentals are subject to review.
- The Town of Knightdale reserves the right to be the final authority on rental approval.
- Rental specific deadlines and capacities are listed below.
Fees:
- Full payment is due at the time of booking or reservation approval.
- Rental fees can be found beginning on page 8 of the Town of Knightdale Fee Schedule.
- All rentals require paying a refundable $50 security deposit.
- All fees can be paid online at knightdale.recdesk.com, over the phone, or in person via credit or debit card, cash, or check.
Refund Policy:
- Reservations cancelled at least two weeks prior to the rental are entitled to a full refund.
- Reservations cancelled less than two weeks before the rental are entitled to a refund, minus the deposit.
- Picnic Shelter, Cabana, and field rentals are subject to a full refund if inclement weather prohibits use.
- Recreation Center rentals are not subject to a refund due to inclement weather, unless it results in the closing of the facility.
- Security deposit refunds are issued the week after the rental after the facility has been inspected by Town Staff. Credit or debit card refunds take 3-5 business days to process. Cash and check refunds take 30 days to process.
- The security deposit may be kept (or a portion thereof) if the facility is not left as it was found, clean and free from damage. Renters will be notified via email of any security deposit forfeiture the first business day following the rental.
Universal Rental Terms:
- Town sponsored activities have priority use of facilities.
- Renter has exclusive access to rental area during designated rental time.
- Rental does not include exclusive access to restrooms, parking lots, or other areas designated for public use. Decorations may not encroach on areas designated for public use.
- All setup and cleanup must be done within the rental hours. Additional time will not be allocated.
- The Parks and Recreation Department reserves the right to make cancellations at any time.
- Cancellation notices will be issued as far in advance as possible to the applicant/user group representative.
- In the event of cancellation by the Parks and Recreation Department, all fees paid for the rental will be refunded in full.
The following activities/items are prohibited for all rentals:
- The closing of public rights-of-way (unless required and supervised by the Knightdale Police Department)
- The erection of temporary fencing
- Event admission or registration fees
- Vendor participation fees
- Firearms (unless specifically permitted by State law)
- Overnight storage
- Fireworks or explosives
- Open flames
- Smoke/fog generating equipment or apparatus
- Glitter, confetti, or rice
- Silly string
- Water balloons
- Alcohol
- Personal cooking devices such as grills, smokers, and other gas or electric cooking devices
- Food trucks
- Tobacco
- Illegal substances
- Gambling
- Vulgar language
- Inflatables or bounce houses
- Amplified music
- Tents or canopies
- Political group events or rentals
- Dunking booths
- Livestock
- Any items to be affixed to the facility, except with non-damaging fasteners
Failure to adhere may result in immediate removal from the facility as well as forfeiture of deposit, rental fees, and rental privileges with the Town of Knightdale.
Applicant/User Group Responsibilities:
- The Applicant/User Group Representative is held responsible for any and all damage or misuse of facilities and shall bear full replacement cost for any breakage, loss or damage including but not limited to full or partial forfeiture of deposit.
- Applicant/User Group Representative must be over the age of 21.
- Applicant/User Group Representative may not sublease the facility to sell food, pre-sell tickets, charge admission, or otherwise profit from the use of Town facilities.
- The Applicant/User Group Representative is responsible for setup and immediate take down of necessary supplies, including tables and chairs, and for the general cleanup of the facility during and after the event. Failure to do so will result in full forfeiture of deposit (or a portion thereof) and possible additional fees.
- Vehicles must park in designated parking areas only. Parking in undesignated areas could result in ticketing or towing of vehicles.
- If it is deemed necessary by the Parks and Recreation Department or the Town of Knightdale for the presence of uniformed police to be on the premises, the Applicant/User Group Representative shall be responsible for arranging and paying directly for such services.
Picnic Shelter Rentals:
- Rental hours are in time blocks from10:00 a.m. to 1:00 p.m. and 2:00 p.m. to 5:00 p.m. Time blocks cannot be combined.
- Shelter rental includes use of sheltered area, picnic tables, and electrical outlets (if applicable). Rental does not include exclusive use of the grass area around the shelter.
- Shelter maximum occupancy:
- PSNC Energy Shelter: 75 people.
- Veterans Memorial Shelter: 30 People.
- Harper Park Shelter: 25 People.
- Shelters operate on a first come, first served basis, unless rented.
- Reservations may be made no more than 3 months in advance and no less than 7 days in advance.
- Renters are not permitted to bring additional tables for Picnic Shelter Rentals.
Wilder Plaza Pavilion Rentals:
- Rental hours are in time blocks from 10:00 a.m. to 1:00 p.m., 2:00 p.m. to 5:00 p.m., or 10:00 a.m. to 5:00 p.m. Pavilion rental includes the use of sheltered area and electrical outlets. Rental does NOT include exclusive use of the grass area around the pavilion.
- 12 six-foot tables and 48 stackable chairs are included with rental.
- Renter may provide additional tables and chairs with approval from the Parks and Recreation Department.
- Maximum occupancy of 100 people.
- Pavilion operates on a first come, first served basis, unless rented.
- Reservations may be made no more than 3 months in advance and no less than 30 days in advance.
Cabana at Knightdale Community Pool:
- The Cabana at Knightdale Community Pool may be rented on Saturday and Sunday during the pool season (First Weekend in June-Last Weekend in August).
- Online reservations open May 1st and must be made no less than 7 days in advance.
- Rental hours are in time blocks from 12:00 p.m. to 2:00 p.m. or 3:00 p.m. to 5:00 p.m. . Time blocks cannot be combined.
- Rental of the Cabana includes exclusive access to the Cabana and 10 pool entry passes. Pool passes will be available at the front gate on the day of your rental.
- After the 10 pool entry passes have been utilized, any guest attending the rental must pay the Knightdale Community Pool daily admission fee.
- Renters are not permitted to bring additional tables or chairs for Cabana Rentals.
- Coolers are permitted, but alcohol and glass are strictly prohibited.
- Pool staff has the right to search coolers at any time.
- Temporary pool closures can occur at any time. No refunds will be given for temporary pool closures.
- Rentals that are affected by pool closures due to inclement weather will be entitled to a full refund. If pool closure occurs after half of the rental time block has been completed, no refund will be issued.
Field Rentals:
- Fields without lights may be rented from 8:00 a.m. to dusk. Fields with lights may be rented from 8:00 a.m. to 8:00 p.m.
- Field rentals are limited to a 2-hour minimum and 6-hour maximum.
- Tournaments and showcases must complete a Special Event Request Form.
- Reservations may be made no more than 3 months in advance and no less than 7 days in advance.
- Field marking, prepping, and painting requires prior approval.
- Soccer goals are not included in the rental.
- The Town of Knightdale may cancel field rentals due to field conditions. Cancellation notices will be issued as far in advance as possible to the applicant/user group Representative. In the event of cancellation by the Parks and Recreation Department, all fees paid for the rental will be refunded in full.
Recreation Center:
- Multi-Purpose Rooms can be rented in the following time blocks:
- Monday-Friday: 6:30 p.m. to 8:30 p.m.
- Saturday: 10:00 a.m. to 1:00 p.m., 2:00 p.m. to 5:00 p.m., or 10:00 .a.m. to5:00p.m.
- Sunday: 2:00 p.m. to 5:00 p.m.
- Multi-Purpose Room rentals include access to six-foot tables, chairs, and whiteboard.
- Food and non-alcoholic beverages are allowed in the rec center. Food that requires an active heating element (i.e. crockpot, flame burner, etc...) must be stored in the Galley (Kitchen). The Galley is rentable, and the applicant/user group must pay an additional fee.
- Multi-Purpose Room rentals do not have access to the gymnasium.
- All gymnasium rental inquiries should be directed to Knightdale Parks and Recreation at 919-217-2233.
- Gymnasium rentals do not include the use of Town equipment, including but not limited to:
- Basketballs
- Score clock
- Cones
- Nets
- Tournaments and showcases must complete a Special Event Request Form.
- Reservations may be made no more than 3 months in advance and no less than 30 days in advance.
Inclement Weather Policy:
Outdoor Rentals
- Lightning: all activity is to be suspended for 30 minutes following the first sighting of lightning. Each successive sighting shall delay the restart by an additional 30 minutes until a complete 30-minute cycle has been completed without a new sighting.
- Severe Weather Watch: the Applicant/User Group Representative will be prepared to stop activities and secure the facilities if conditions worsen.
- Severe Weather Warning: all activities will stop, and all guests must leave the facility in an orderly manner and/or seek cover at the nearest safe location.
Recreation Center Rentals
- The Recreations Center follows the Wake County Public School System policy for school closings and delays. If classes at Forestville Road Elementary School are cancelled or dismissed early, all extracurricular events and rentals will be cancelled, and any fees will be refunded.
- Tornado Warning: In the event of a Tornado Warning, all guests will seek shelter inside the most interior room of the facility as indicated by staff. Guests will remain until the warning has expired.
